Role Overview:
We are looking for a motivated and curious professional to join our team as a Property Finance Coordinator, focussed on Property & Real Estate. This position offers the opportunity to join the Finance Department within an exciting scale-up business. Ideal for someone eager to demonstrate and build their analytical, problem-solving, and financial reporting skills in a collaborative environment.
In this role, you’ll gain exposure to various finance functions – from invoice processing and payment reconciliation to month-end reporting and financial analysis – while supporting process improvements and system efficiency. We offer support towards obtaining an accounting qualification, with the opportunity to transition into areas such as management accounting or commercial finance. Role responsibilities:
Invoice & Payment Processing:
- Process invoices related to store rents, service charges, UK business rates, and store maintenance in line with payment terms.
- Ensure invoices match lease agreements, service charge statements, and council demands.
- Maintain accurate coding of property-related costs in the finance system.
- Prepare and process payment runs for property-related costs.
Financial Reconciliation:
- Support month-end and year-end processes, including accruals, prepayments, and preparing journal entries for financial reporting.
- Reconcile landlord statements and council accounts to internal records.
- Investigate and resolve discrepancies between invoices, agreements, and payments.
- Maintain a schedule of lease payment dates and rates due.
Stakeholder Management
- Act as the main point of contact for landlords, managing agents, and local councils regarding invoices and payments.
- Collaborate with the Property and Store Operations teams to resolve cost queries.
- Liaise with the Finance Director on cash flow forecasting and management for scheduled payments.
Compliance & Controls
- Ensure compliance with UK accounting standards and internal controls.
- Maintain clear and organized financial records, assist with data entry, and support digital and physical filing systems, keeping property cost records and supporting documentation audit-ready.
- Assist with internal and external audit requests related to property costs.
- Process Improvement: Collaborate with the team to identify inefficiencies and recommend solutions to improve finance processes and tools.
Skills & Experience
Essential:
- Proficiency in Microsoft Excel
- Accounts Payable experience, ideally within a multi-site retail, hospitality, or property environment.
- High attention to detail and a commitment to accuracy in data and reporting
- Strong analytical and critical thinking skills with an interest in solving problems and optimizing processes
- Excellent verbal and written communication skills
- A proactive, team-oriented mindset with a willingness to learn and take initiative
Desirable:
- Familiarity with financial software such as NetSuite is a plus
- Knowledge of property-related costs (rent, service charges, and UK business rates), including interpreting lease agreements and service charge statements.
- Experience working with landlords, property managers, and local councils.
- Familiarity with UK business rates legislation and processes.
